Privacy policy
We handle your customers’ contact details. This page explains exactly what we collect, what we do with it, and how to get it back or deleted.
Who we are
Review Automation Australia is a venture of Dictate Digital Pty Ltd (ABN 98 665 807 705), an Australian company. In this policy, “we”, “us” and “our” mean Dictate Digital Pty Ltd.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in it. This policy describes how we comply with them.
Whose information this covers
There are two groups of people whose information we handle, and they are treated differently.
- Our clients — the trade and service business owners who engage us. We hold your business details, contact details and billing information.
- Our clients’ customers — the people who receive a review request. We hold their details only to send the requests our client has authorised, and only for as long as that takes.
What we collect
From our clients:
- Business name, ABN, trading address and Google Business Profile details.
- Names, email addresses and phone numbers of the people we deal with.
- Billing information necessary to invoice and collect payment.
From our clients’ job management, accounting or customer-record software, with our client’s authorisation, we receive:
- Customer first name and surname.
- Customer mobile number and email address.
- Job or invoice reference, its status, and the date it was completed or paid — used only to determine whether and when a request should be sent.
We do not collect or store job pricing detail, payment card numbers, bank details, or any information about a customer beyond what is needed to send a review request and to stop sending one.
How we use it
Customer contact details are used for one purpose only: sending the review requests our client has authorised us to send on their behalf. We do not use them for marketing our own services, we do not build profiles, and we do not enrich or cross-reference them against other data.
Client information is used to provide the service, to report on it, and to invoice for it.
Consent and authorisation
Our client is the sender. We act on their instruction, in their business name, to contact people who have an existing commercial relationship with that business — they have just had work done and been invoiced for it.
Every message we send identifies the business it comes from and carries a clear way to opt out. Once someone opts out, they are suppressed permanently and no further message is sent, on that client’s account or any other.
It remains our client’s responsibility to ensure they have the right to contact their own customers. We will not send to a purchased, scraped or third-party list, and attempting to supply one is grounds for us to terminate the engagement.
Disclosure
We never sell your data or your customers’ data. We never share it for anyone else’s marketing.
We disclose personal information only to the service providers we need in order to deliver the service — the SMS and email delivery providers that transmit the messages, our hosting and infrastructure providers, and our accounting system. Each is bound to use the information only to provide their service to us.

We may also disclose information where we are required to by Australian law, or to establish or defend a legal claim.
Security
Personal information is encrypted in transit using TLS and encrypted at rest. Access is restricted to the people who need it to run the service, protected by multi-factor authentication, and logged.
No system is perfect. If we ever suffer a data breach that is likely to result in serious harm, we will notify the affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
How long we keep it
- Customer contact details: retained only while needed to run the request sequence and honour opt-outs, then deleted. Opt-out records themselves are kept indefinitely — that is the only way to guarantee we never contact that person again.
- Client records: retained for the duration of the engagement and then for as long as Australian tax and corporations law requires us to keep business records.
When a client ends their engagement, we delete their customer data on request. If no request is made, it is deleted as part of our routine account closure.
Accessing, correcting or deleting your information
You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email info@reviewautomation.com.au and we will respond within a reasonable period, and in any case within 30 days.
There is no charge for making a request. We may need to verify your identity before acting on it.
Making a complaint
If you think we have mishandled your personal information, tell us first — email info@reviewautomation.com.au with the details. We will acknowledge your complaint and give you a written response within 30 days.
If you are not satisfied with our response, you can take the complaint to the Office of the Australian Information Commissioner (OAIC), the independent regulator for privacy in Australia, at oaic.gov.au.
Cookies and tracking
This website runs no analytics, no advertising pixels, no chat widgets and no third-party tracking scripts. We set no cookies of our own, and we do not track you across the site or across the web.
There is one exception, and we would rather name it than bury it. Our contact page embeds a booking calendar provided by Calendly (Calendly LLC, United States) so you can pick a time without emailing back and forth. That embed loads from Calendly’s servers and may set its own cookies in your browser. It loads only on the contact page — no other page on this site contacts a third party at all.
If you book through it, the name, email address and any answers you give are handled by Calendly under their own privacy policy as well as ours. If you would rather not use it, email info@reviewautomation.com.au and we will find a time that way — you will not be treated differently for it.
Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes affecting existing clients will be notified by email.
